Core features

Tenants & leases

Tenant records are the centre of Onsite's operations. A complete tenant record unlocks SMS notifications, rent invoicing, and maintenance coordination — all without requiring tenants to create an account.

What to have ready

  • Tenant full name
  • Phone number (10-digit Canadian or US format)
  • Email address — required for Stripe rent invoices
  • Lease start and end dates
  • Monthly rent amount
  • Unit number (for multi-unit properties)

Navigate to Tenants for a property

In the sidebar, select a property, then click Occupancy → Tenants. You'll see a grid of existing tenants (or an empty state if this is your first).

Click Add Tenant in the top-right corner to open the tenant form.

Fill in tenant details

Complete the tenant form:

  • Full name — used in SMS messages and invoice emails
  • Phone number — receives SMS maintenance updates and dispatch confirmations
  • Email address — Stripe sends rent invoices here; no Onsite account required
  • Unit — select the unit they occupy (multi-unit properties only)
  • Lease start date
  • Lease end date (leave blank for month-to-month)
  • Monthly rent — pre-fills the invoice amount on the rent page
Phone format: Enter digits only, no dashes or spaces. Onsite formats the number before sending SMS. Example: 6135550100

Save the tenant

Click Save. The tenant appears in the property's tenant grid and is immediately available for:

  • SMS notifications when tickets are submitted or contractors dispatched
  • Rent invoicing via Stripe (Starter and Pro plans)
  • Lease date tracking and move-out reminders

Edit tenant information

Click the Edit (pencil) icon on any tenant card to update their information. You can update the email or phone number at any time — the next invoice or SMS will use the latest values.

Changing a tenant's email after invoices have been sent does not resend previous invoices. Future invoices will go to the new email.

Track lease expiry

Onsite displays lease end dates on each tenant card. Tenants whose leases expire within 30 days are visually flagged so you can follow up before the end date.

Month-to-month tenants (no end date) show as Month-to-month and are not flagged for expiry.

Remove a tenant

To remove a tenant, click the Delete icon on their card. This removes them from the property's active roster.

Heads up: Deleting a tenant also removes any rent invoices linked to them. If you need to retain payment history, record any outstanding payments before deleting.

SMS and email requirements

Phone number is required for SMS dispatch notifications. Email is required for Stripe rent invoices. Both can be added later — a tenant without an email will show a "no email" warning on the rent page until one is added.
